General Reminder
All information on our web site is now up-to-date. Please consult the Travel information for all your travel needs: "Venue & Lodging" has specific information about transportation to and from the hotels at the airport, including information on how to move between the hotels and Seaport, the conference venue. "Travel & Local Area" provides information on flying in to Boston, how to get to Seaport, and getting around in Boston.
Power
Note the following: Power is 120V/60Hz. If you are not coming from North America or Japan, make sure you bring a voltage converter (if needed) and a power adaptor (two flat prongs or two flat prongs with a round ground pin), as well as your laptop charger, of course.
We regret to say that power is not available in the amphitheater. We will provide power strips in the Speaker-Ready room where you can charge your batteries during breaks.

Invited talks are 25 minutes (plus 5 minutes for Q&A).
Contributed talks are 12 minutes (plus 3 minutes for Qamp;&A).
These time limits will be strictly enforced.
Talks need to be loaded in the Speaker-Ready room at least 15 minutes before the start of their session. See the Audio-Visual page for details on what is available on our laptops. If you need to use special software, please see one of the Speaker-Ready room attendants well in advance of your talk (preferably during a previous day). It is always a good idea to have an LCD projector adaptor if your laptop does not have a standard monitor jack.

ADASS 2010: Conference Update 2010-11-01

Note that 7 November is the day that North America changes from Daylight Savings Time to Standard Time: Saturday night we will be running 4 hours behind UTC, but Sunday morning you will wake up at 5 hours behind UTC. Take advantage of it and sleep longer.
Travel and Lodging
We have updated the travel instructions on our web site: "Venue & Lodging" has specific information about transportation to and from the hotels at the airport, including information on how to move between the hotels and Seaport, the conference venue. "Travel & Local Area" provides information on flying in to Boston, how to get to Seaport, and getting around in Boston.
The Embassy Suites Hotel will honor the conference rate without a reservation deadline, as long as rooms are available. So, if you don't have a room, yet, you can still get one.
Harbor Walk
Doug Mink will be leading a walking tour around Boston Harbor on Sunday, 7 November at 11:00. Anyone interested is welcome. For further details, see Social Events under "Events". It would be helpful if those intending to join him would drop Doug a line: dmink@cfa.harvard.edu
Tutorials
There was a glitch that would not allow some people to register for the tutorials. That has been fixed and registration has not yet been closed on the tutorials. Access to the tutorial(s) does require registration for the tutorial(s).
Presentations
Best Presentation Awards
Wolfram Research, developers of Mathematica and Wolfram Alpha, are sponsoring a competition at ADASS XX to encourage excellence in the broad areas of focus of the conference. There will be awards for the best contribution by a student, the best general oral contribution, and the best poster contribution, at the conference. The winner in each category will win a 1 year license for Mathematica. For further details, see Presentation Awards under "Events". You may want to keep this in mind when you are preparing your presentation.

Proceedings
ASP, the publishers of ADASS Proceedings, have changed their procedures. There are four significant changes that will affect you:
- The LaTeX style sheet has changed; do not use last year's, but get a fresh copy off our web site.
- This year's proceedings will be in full color and we hope all of you will take extensive advantage of this.
- The publication process is being compressed and we hope to have the proceedings out within 6 (yes, six!) months.
- But that comes at a price to you: the hard (really hard) deadline for the submission of manuscripts is 15 December 2010.
So, why not start on your manuscript right now and submit it before you go to Boston? Use the same ftp upload site as for the PDF files of your presentations:

ADASS XX Update: Tutorial Registration and Presentation Competition

Tutorial Registration
We would like to remind you that the registration for the two tutorials on Sunday 7 November is open. We have to charge a small fee ($20) for attending the tutorials to cover the extra expenses and, unfortunately, registration is required for attendance. If you are planning to attend either or both of the tutorials, please register at the web site. Use your registration number to return to your registration information and add the tutorial.
Best Presentation Awards
As you are likely to be starting on your presentations, it is appropriate to make you aware of a new event this year: the best contributed presentation awards. Wolfram Research, developers of Mathematica and Wolfram Alpha, are sponsoring a competition at ADASS XX to encourage excellence in the broad areas of focus of the conference. There will be awards for:
- best contribution by a student
- best general oral contribution
- best poster contribution
The content and presentation of each contribution will be judged by members of the Program Organizing Committee. Content will be judged based on qualities such as the originality of work, application of creativity and innovation to address the problem, and the relevance of the topic to the conference themes. Presentation will be judged based on qualities such as the clarity of the talk or poster, the aesthetic design of the poster or slides, and the effectiveness of the contribution in conveying the information to the audience.
The winners will be announced during the conference closing remarks on Thursday, November 11.
Time
Although astronomical time scales do not experience jumps, civil time does: on Sunday 7 November the USA will change from Daylight Savings Time to Standard Time. The practical consequence is that you will be able to sleep an hour longer on that Sunday morning.

ADASS XX Lodging: Overflow Hotels

Lodging
Our reserved hotel block at the Seaport Hotel has been exhausted for Saturday and Sunday (6 and 7 November), as several of you have discovered. For the remaining days rooms are still available.
We have secured blocks of rooms at Embassy Suites and at the Hilton at Boston Logan Airport for Saturday and Sunday night. These hotels will honor the conference rate for these two nights. If you do not yet have a hotel reservation, we recommend that you make your reservation at the Seaport Hotel for whatever nights you can and need; then book the remaining nights at Embassy Suites or Hilton. For more detailed instructions, see the lodging web page. Note that the hotel reservation deadline is 14 October 2010.
Registration Deadline
I would like to use the opportunity to remind you that the registration deadline is approaching: Friday, 15 October at the end of next week.
If you have submitted your abstract, but not yet registered, I encourage you to get the registration taken care of soon. This also applies to student registrations.(Register Now)
"Walk-in" registration will still be possible after this date, but at increased cost and will not include the banquet anymore.
And if you are planning to attend the tutorials (one or both), but have not yet registered for them, please revisit your registration (at the same URL) and add the tutorials.

Oral Program and Conference Schedule
The complete conference schedule, including all oral presentations, BoFs, and Tutorials, has been posted on our web site. You will also find the list of attendees and all submitted abstracts.
If you intend to attend one or both tutorials, please update your registration, if you have not yet registered for the tutorials; there is a small fee involved.
Registration Deadline

Oral Program
As promised, we have now posted the talks that will be included in the oral program. The contributed presentations accepted for the oral program are listed at: http://adass2010.cfa.harvard.edu/ADASS2010/Program/orals.html. If you requested an oral presentation and yours was selected, you should be on this list.
We had twice as many applications for the oral program as we could accommodate. We regret that not all could be included and want to assure you that not being selected by no means indicates a judgment of the POC on the quality of your abstract. We just don't have enough slots and one of the criteria used by the POC in its decision was which contributions would benefit most from an oral presentation and which could be well presented as a poster - in their opinion.
The program schedule is posted in preliminary form at: http://adass2010.cfa.harvard.edu/ADASS2010/Program/schedule.html. We expect the schedule of individual sessions to be available by the end of the month.
Posters

Tutorials

Deadline
Most importantly, please note that the deadline for early registration, for poster abstract submission, and for (focus) demo registration is approaching: Wednesday, 15 September 2010 is the last day for these submissions and registrations.
Things to do for those who are going to register or already have registered:
Tutorial registration - Register for the Tutorial if you are planning to attend (there is an extra small fee involved (as in the past) of $20. See below for details on the tutorials.

We had an unfortunate incident late last week with our web server, resulting in failed abstract submissions - for which our apologies.
If you tried to submit an abstract between: Thursday, 12 August 10:54 (EDT) / 14:54 (UTC) and Friday, 13 August 18:47 (EDT) / 22:47 (UTC) and have not yet resubmitted you abstract, we would like to give you the opportunity to correct the situation.
Many of you have, in the meantime, resubmitted your abstracts and you may verify their safe arrival at: [link no longer active] If it is not there, please resubmit.
To accommodate resubmission, we have extended the deadline for oral abstracts till: Tuesday, 17 August 17:00 (EDT) / 21:00 (UTC)

This time it is for real - with apologies for last week's false alarm. With one caveat, however: if you are using IE, you may have trouble navigating since IE does not fully support the standard; but it is complicated: IE7 and IE8 under Vista have a problem, but IE9 seems OK and IE8 appears to work under Windows 7.
We are pleased to announce the opening of registration for the 20th annual conference on Astronomical Data Analysis Software and Systems (ADASS). The conference will be held in Boston, MA (USA) at the Seaport World Trade Center during 7-11 November 2010.
The ADASS conference is held each year at a different hosting astronomical institution. The conference provides a forum for scientists and programmers concerned with algorithms, software and software systems employed in the acquisition, reduction, analysis, and dissemination of astronomical data. The program includes invited talks, contributed papers, display sessions, tutorials, and computer demonstrations, as well as special interest ("Birds of a Feather" or BOF) meetings. These activities aim to encourage communication between software specialists, scientists, and also to stimulate further development of astronomical software and systems. We encourage you to participate in this exciting conference by submitting an oral or poster abstract, a demonstration, or a BoF proposal.
In addition, the registration site will accept proposals for tutorials and requests for financial aid.
Note that this year the registration fee covers the opening reception on Sunday, breakfasts, lunches on Monday and Wednesday, as well as the conference banquet on Tuesday.
